ABOUT THE ROLE:

The primary purpose of the Administration Assistant is to be responsible for administrative functions and providing support to the rest of the team. You will perform various administrative and clerical tasks to support our office and the operational team, ensuring that all administrative tasks within the office are carried out in an efficient and timely manner.

Specific Responsibilities

  • Site inductions
  • Maintaining employee safety and training records
  • Entering workshop data into software program
  • Contacting employees and contractors to obtain missing paperwork
  • Auditing received paperwork for accuracy
  • Accounts receivable support
  • Data entry, Scanning and filing
  • Manage site switchboard and incoming calls
  • Prepare agendas and make arrangements for meetings.
  • Compile, transcribe, and distribute minutes of meetings.
  • Attend meetings in order to record minutes.
  • Manage incoming correspondence.
  • Prepare responses to correspondence containing routine inquiries.
  • Perform general office duties such as ordering supplies, maintaining records management systems, processing invoices and performing basic bookkeeping work.
  • Make travel arrangements for Managers.
  • Prepare reports, memos, letters and other documents, using word processing, spreadsheet and/or Presentation software.
  • Set up and oversee administrative policies and procedures for offices.
  • Manage the PPE inventory and distribution process
  • Support site HR activity through co‐ordination of recruitment

Key Competencies & Skills:

  • Secondary education
  • Microsoft Word, Microsoft Excel, Microsoft PowerPoint skills preferred
  • Email management, Data Entry and working across spreadsheets skills
  • Excellent communication skills both written and oral
  • Ability to multitask and prioritise projects
  • Proven ability to pick up internal systems (IT) quickly
  • Flexible approach with strong business acumen
