Australian Amalgamated Terminals (AAT) is seeking a highly organised and detail-oriented Safety & Accounts Administrator to support our Operations team. This is a dynamic role combining safety, compliance, maintenance administration and accounts functions within a busy terminal environment.

About the Role

The primary objective of the Safety & Accounts Administrator is to perform safety, compliance and accounts administrative tasks to support AAT’s Operations. You will play a key role in maintaining accurate systems, supporting audits, managing financial processes and ensuring regulatory compliance across the terminal.

 

Key Responsibilities

1. Safety & Compliance

  • Maintain SHS systems including Rapid, Genetech, Fork Track, iAuditor/INX, Compliance and Training registers.
  • Maintain terminal inductions and compliance documentation for staff, contractors and terminal users.
  • Create and update SOPs, SWMS, JSAs, risk assessments and risk registers.
  • Assist with internal and external audits.
  • Assist with permits and safety documentation.
  • Coordinate and organise employee training.
  • Provide data entry support to Superintendents.
  • Liaise with contractors, visitors and clients to compile compliance information.

2. Accounts Administration

  • Manage and perform Accounts Payable functions.
  • Follow up outstanding unpaid invoices.
  • Perform Accounts Receivable tasks.
  • Assist with financial analysis and modelling to support terminal operations.
  • Ensure accurate and timely financial data entry and reconciliation.

3. Maintenance Administration

  • Enter MEX work orders.
  • Cross-reference MEX work orders against invoices.
  • Liaise with contractors and obtain quotations.
  • Maintain and update the site asset register.

 

About You

To be successful in this role, you will demonstrate:

  • Experience in safety and/or accounts administration.
  • Strong computer proficiency.
  • Sound Microsoft Office skills (particularly Word and Excel).
  • High-level, fast and accurate data entry skills.
  • Excellent verbal and written communication skills.
  • Strong numeracy and analytical capability.
  • Exceptional attention to detail.
  • Ability to work effectively within a team.
  • Flexibility to manage variable workloads and tight timeframes.
  • Professional telephone manner and strong customer service skills.
