THE ROLE

The primary purpose of the National Equipment Manager is to procure and maintain compliance of all Qube Australia for Ports, Energy and Forestry equipment. This position is based in any major city on the east coast of Australia.

Key Duties:

Equipment Maintenance, Compliance and Planning:

  • Develop and implement comprehensive strategies for equipment management aligned with organisational objectives.
  • Evaluate current equipment practices, identify areas for improvement, and implement initiatives to enhance efficiency and cost-effectiveness.
  • Develop and enforce maintenance / compliance schedules as per AS 4991-2004 Standards and procedures to ensure the reliability and longevity of equipment assets.
  • Coordinate / assist equipment transport to other ports, liaising with relevant managers and administrators.
  • Provide equipment guidance to the wider team.
  • Liaise with external stakeholders, such as regulatory agencies and industry associations, to stay informed of industry trends and regulatory developments.
  • Be available after hours for emergency equipment supply / information sharing.
  • Conduct annual compliance inspections of equipment at all business units, reporting on their condition.
  • Ensure compliance with industry regulations, standards, and safety protocols related to equipment maintenance to be able to produce compliance.
  • Equipment Certification is maintained with no unseen items and out-of-date gear available for use.
  • Ensure equipment is removed from the register if failed, rejected, or damaged.
  • Oversee the tracking down and inspection or removal from the register of any items not accounted for.
  • Ensure the Equipment register is always compliant with zero outstanding items.

Inventory Control & Planning:

  • Implement inventory management systems to track equipment usage, availability, and lifecycle
  • Optimise inventory levels to minimize costs while meeting operational demands.
  • Guide set stock Levels in all businesses and implement and effective process for auditing and maintaining stock levels.
  • Organise and review annual stocktakes.

Procurement Management:

  • Maintain relationships with key suppliers, ensuring timely delivery of quality equipment at competitive prices.
  • Work within any contract guidelines, manage and maintain good working relationships with key suppliers.
  • Minimise costs of supplies and equipment purchased while maintaining professionally high standards of safety and quality.
  • Work with the commercial team to review and go to market for bulk purchase of consumables and stores.
  • Submit annual financial year Capex budget request based off business units requirements
  • Provide Mainpac purchase orders within your Delegated Authority limits.

Team Leadership and Development:

  • Develop Personal Growth and Training plans for Gear Store Staff to ensure the Equipment Coordinators and Managers ’s  have the necessary training to the required standard and can be classified as a “competent” person.
  • Ensuring staff are trained on all relevant safety systems / procedures, internal training, and external training before undertaking tasks and equipped with proper PPE.
  • Lead a team of equipment coordinators and providing guidance, support, and training as needed.
  • Foster a culture of safety, accountability, and continuous improvement within the equipment management team.
  • Perform spot audits to validate the inspection and maintenance carried out by Qube Gearstore staff

Financial & Reporting Requirements:

  • Produce and interrogate monthly reports from the register.
  • Provide monthly Action Plan reports into ETVIA platform.
  • Establish key performance indicators (KPIs) for equipment management and monitor performance against targets.
  • Prepare regular reports and presentations for senior management, highlighting relevant issues, and opportunities for improvement.

Administration:

  • Management and security of Qube Gear Store plant, tools and equipment.
  • Maintain the Equipment register to a high standard of accuracy that will withstand and pass audit interrogation from:
    • Documentation control
    • WorkSafe – Approved Code of Practice for Load-Lifting
    • Rigging
    • Maintain a highly accurate procurement register showing: Equipment design certifications and expiry dates o Annual inspection expiry dates.
    • Ensure all major equipment items have asset numbers and maintain an accurate record of the current locations.
    • Keep accurate records of approved engineers’ drawings on owned equipment.

Design and Implementation of Projects:

  • Scope, compile & Submit new equipment designs for projects proposals for approval detailing SWL’s engineers ’reports, risk assessments, pre-purchase analysis, function and recommendations in writing.
  • Once projects have been approved, go to market and research.
  • Best price certified engineering drawings and contractors to carry out the work within budget, monitor and report on progress to achieve specified delivery dates.
  • Innovative solutions
  • Manage Approval Plus projects within specified budget planning.
  • Oversee the setup, delivery, and ongoing monitoring of projects to address any issues arising post-equipment delivery, ensuring operational effectiveness.
  • Ensure compliance with approved engineers' equipment drawings.
  • Work within the scope and budget provided from the Executive Management team.
  • Promptly report any Environmental and OH&S accidents/incidents, ensuring entries are made into the INX Reporting Portal.
  • Reduce workplace incidents (involving harm).
  • Ensure that all incident reporting (including near hits) and investigations are completed within the timeframes specified in Qube policy.
  • Ensure Corrective Actions arising from investigations are assigned to personnel and are completed by target timeframes.
  • Attend at least one H&S Committee meeting every six months.

Qualifications & Experience

  • Current drivers licence (C)
  • Forklift OSH Certificate
  • Project management experience
  • Proven experience in equipment management, with a minimum of 3+ years in a leadership role
  • Strong understanding of equipment procurement, maintenance, and compliance requirements
  • Demonstrated experience in budgeting, financial management, and cost control.
  • Ability to work effectively in a fast-paced, dynamic environment and lead cross-functional teams
  • Excellent leadership, communication, and interpersonal skills

Preferred qualifications:

  • Intermediate Rigging
  • Forklift OSH certificate
