The Opportunity

We are seeking an experienced Administration Assistant, to join the Qube team in Rockingham.

Key Responsibilities

This role forms an integral part of the Qube Team, responsible for administrative functions and providing support to the rest of the team. You will perform various administrative and clerical tasks to support our Workshop Office, Fleet Supervisors & Operations Manager; ensuring that all administrative tasks within the office are carried out in an efficient and timely manner.

  • Accounts payable & receivable management
  • Creating & actioning purchase orders
  • Assisting in processing payroll
  • Maintain payroll records, including timesheets, leave applications and deductions.
  • Processing of EOM report
  • Balancing of hauled products with client daily
  • Creating new item codes & liaising with client regarding current purchase orders
  • Liaising with suppliers/contractors to ensure all safety requirements are compliant.
  • Ordering of PPE, workshop parts, office stationary/consumables
  • Assist with data entry, record keeping and other ad hoc tasks.

 

 

Qualification & Experience

To be successful in this role, you will ideally bring the following:

  • Prior experience within the mining, logistics and/or heavy transportation industries preferred.
  • Accounts Payable and Accounts Receivable experience (essential)
  • Pay roll experience (essential)
  • Experience with Connect, Mainpac, Oracle, Rapid & Microster (desirable)   
  • Ability to maintain a high level of accuracy and attention to detail.
  • Numeracy skills
  • Excellent communication skills both written and oral
  • Proven ability to pick up internal systems (IT) quickly.
  • Experienced & skilled in using Microsoft office products, data entry and working across spreadsheets (essential)
  • Email management.
