We are looking for a highly organised and proactive Executive Assistant to support the Director – QL&I and the leadership team. This is a pivotal role for someone who thrives in a fast-paced, high-trust environment and enjoys being at the centre of executive operations.
About the Role
This role provides high-level executive and administrative support to the Director – QL&I and leadership team, ensuring priorities are managed, information flows effectively and the executive office operates seamlessly.
You will be a trusted partner to the Director, managing complex schedules, coordinating meetings and communications, and ensuring key initiatives stay on track.
Key Responsibilities
• Manage complex executive calendars and competing priorities
• Coordinate meetings, prepare agendas and take minutes
• Prepare executive reports, presentations and documentation
• Arrange travel and manage complex itineraries in line with company policy
• Coordinate events, conferences and stakeholder engagements
• Act as a liaison between the Director and internal and external stakeholders
• Track actions and ensure follow-ups from key meetings
• Provide administrative and personal support to the Director as required
• Maintain strict confidentiality when handling sensitive information
About You
You are a highly organised, proactive and detail-oriented professional who can anticipate needs and manage multiple priorities.
You will bring:
✔ Experience supporting senior executives or leadership teams at least 5 years' experience
✔ Exceptional organisational and time management skills
✔ Strong written and verbal communication abilities
✔ Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint)
✔ High attention to detail and discretion with confidential information
✔ The ability to work independently in a fast-paced environment
✔ A proactive and collaborative approach to problem-solving
