About the Role

Reporting to the National SHS Manager, the SHS Administration Officer is a national, corporate based role providing administrative, systems and coordination support across the broader Qube Energy SHS function.

The role exists to strengthen consistency, visibility and alignment in routine governance and coordination activities that currently sit across multiple site‑based roles. By centralising these functions, the role supports the broader SHS team to direct greater effort toward field based engagement, verification  and proactive risk management, enabling SHS Advisors and leaders to spend more time supporting operations, identifying emerging risks and driving meaningful safety improvement.

Specific Responsibilities

  • Administer and maintain records in SHS systems and registers, such as health surveillance records (medicals, fit testing, audiometry, Drug & Alcohol), training and competency
  • Administrator and monitor Qube Energy Contractors through Rapid Contractor
  • Coordinate SHS digital content and updates, including management of SHS digital communication system
  • Provide administrative support for internal and external SHS audits, including collation of evidence, tracking actions and supporting close out
  • Compile regular and adhoc SHST reporting aligned to agreed KPIs and business requirements
  • Coordinate SHS Team Meetings, including preparation of agendas, meeting packs, minute taking and assigning actions
  • Assist with basic review of data to identify trends, gaps and improvement opportunities
  • Coordinate meetings, calendars and travel bookings for SHS leadership
  • Support tracking and coordination of SHS governance, projects, initiatives and actions 
  • Support coordination and visibility of SHS team movements, meetings and calendars, including travel where required.

Qualifications and Experience

  • Demonstrated experience in an administration, business support or coordination role
  • Strong written and verbal communication skills, with the ability to adapt style to suit different audiences
  • High level of proficiency in Microsoft Word, Excel, PowerPoint, Teams and SharePoint
  • Strong organisational skills with the ability to manage registers, documentation and competing priorities
  • Proven ability to take initiative, work both autonomously and as part of a team and learn from others

Desirable

  • Experience working in safety, compliance, training or regulated environments
  • Exposure to SHS systems, registers or reporting
  • Experience supporting audits, governance or assurance activities
  • Experience working in geographically dispersed or operational businesses
